What we collect
- Contact details: your name, email address and phone number.
- Trip details: the tour you’re interested in, dates, number of guests, children’s ages, pick-up address, destination and anything you tell us in your message, such as mobility needs or special occasions.
- Booking and payment records: what you booked and paid. Card payments are handled by our booking provider, Bókun, and its payment partners. We never see or store your full card details.
- Website usage: if you allow analytics cookies, Google Analytics records how the site is used, such as pages visited, time on page, device and browser type, general location and how you found us.
How we use it
- To reply to your enquiry and plan your trip.
- To take, manage and confirm your booking, including payments and changes.
- To contact you about your tour, for example pick-up times or a change of plan because of weather.
- To keep the records we need for accounting and legal purposes.
- To understand how the website is used so we can improve it, only if you consent to analytics cookies.
We do not send marketing emails, and we never sell, rent or trade your personal information.
Our legal basis
- Contract: when you book, or ask us to plan a trip, we use your information to provide that service.
- Legal obligation: to keep financial and tax records.
- Legitimate interests: to run the business, answer questions and keep the website secure.
- Consent: for analytics cookies. You can change your choice at any time using “Cookie settings” at the foot of every page.
Who we share it with
- Bókun: our booking and payment platform, which processes bookings and payments on our behalf.
- Hostinger: hosts this website and processes the forms you send, which are then emailed to us.
- Google: provides Google Analytics, only if you accept analytics cookies.
- Accommodation and activity providers: only the details needed, and only when you ask us to arrange something for you.
- Authorities: where the law requires it, or to protect our legal rights.
Some of these providers may process data outside the UK. Where they do, they rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or standard contractual clauses.
How long we keep it
We keep enquiry and booking information for up to five years after your tour, then delete it, unless the law requires us to keep it longer. Enquiries that don’t lead to a booking are deleted within two years. Google Analytics data is kept for 14 months.
Keeping it safe
Your information is held securely, with access limited to us and the providers listed above.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format where that applies. Where we rely on consent, you can withdraw it at any time. To make a request, email help@pathsofthepast.co.uk. We’ll reply within one month.
If you’re unhappy with how we’ve handled your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
